    Hi,

    I am trying very hard to sort out our RC0007 exceptions. I have been going through the exception report online, and have come across quite a lot of learners that are registered with MIAP, have a ULN assigned to them, but have no address details attached, just a postcode!!!!
    Out of the learners like this, everything matches (from the information I can check), but the postcode could be a digit or number out!!!
    How are people dealing with this?! If you have come across it at all?!

    Frustrating, isn't it!? Usually it'll be down to sloppy handwriting on the enrolment form. A 'G' misinterpreted as a 'Q', a 'J' instead of a 'T', 'V' and 'U' etc or our input team not hitting the 'Validate postcode' button on our MIS software.

    Fortunately I have postcode software installed on my computer so I'm able to use that and detect any dodgy entries relatively quickly. I'd be at a loss without it.

    One thing that I do is to run the ULN batches pretty much on a daily basis – and clean the exceptions regularly. That way they don't build up and we're then ready for the ILR returns.

    I'm doing my batch as I type this – saw your post and took it as a welcome distraction :)

    We do have postcodes validation on our system, but this is on the actual MIAP site!!! They have the first name, family name, date of birth, postcode and validation reason, but NO address!!!!

    How am I supposed to check that the learner on MIAP (with no address details), is the learner we have on our MIS system??!!!!

    Oh, I see what you mean now. A common problem! To be honest, if the First Name, Surname, DoB and Post Code are the same then that's pretty likely to be a match. What I tend to do is add the address details in – but only if the postcode we have is different to that one in the likely match.

    It is actually very unlikely that the address details will be there already. The schools/colleges in our area don't seem to send much info – we only send the bare essentials to MIAP ourselves.

    Don't forget that they come up as possible matches because of dodgy spellings in their names, the date of birth has been transposed or there is a slight of hand with the postcode – sometimes it's easy to spot, other times you can be staring at the screen for what feels like hours trying to figure it out.

    I've even reported to MIAP myself that it has sometimes come up with a possible match because the ID type we'd got on our system was different to the one on MIAP!

    If I may jump in and expand this subject, the reason that we and I suspect many other colleges don't submit full address details in our batches is that the LRS uses a structured address format, ie 2 address lines, town, county, and our student record system uses a completely free address format. I understand that this will change when structured addresses are introduced in the ILR…
